# Track your stock

> See what's in your yard, what's already sold and what's running low.

Inventory keeps count of the material in your yard. Every load that leaves comes off by itself, and you get an alert before a pile runs out.

> [!NOTE]
>
> Inventory is part of Fleet. Turn on [Fleet](https://bulk-order-hero.mintlify.site/fleet/overview.md) and **Inventory** shows up in your menu, right after **Products**.

## Start tracking a material

Only track what you keep in your yard. If you pick up from a supplier for every load, leave that material off.

**1. Tap Inventory, then Not tracked**

Or open the product in **Products** and turn on **Track inventory**.

**2. Tap Start tracking**

**3. Enter how much is in the yard right now**

Tap **Start tracking**. From then on, the app adds what you receive and takes off every load that leaves.

Stock is counted in the unit you sell by: yards for products sold by the yard, tons for products sold by the ton.

## The three numbers

| Number | What it means |
| - | - |
| **On hand** | What's in your yard right now, by the app's count. |
| **On orders** | Material on paid orders that hasn't left the yard yet. |
| **Available** | On hand minus on orders. This is what you can still sell. |

If **Available** is below zero, you've sold more than you have in the yard.

The Inventory page also shows **Low at**, **Days left** (how long it lasts at your pace over the last 30 days), **Last counted**, and a status: **In stock**, **Low** or **Out**. Tap **Low** or **Out** at the top to see only those materials.

## When stock comes off

You don't have to do anything. Stock comes off when the material leaves your yard:

* **Deliveries:** when the load is marked **On the way**. If it's marked **Delivered** without going on the way first, it comes off then.
* **Pickups:** when you mark it **Picked up**.
* **Split or mixed loads:** each load takes off its own materials.

Tapped the wrong button? **Undo** or **Move back** puts the material back.

Canceling or refunding an order that already left doesn't put anything back. If the material really came back to your yard, use **Adjust** and pick **Returned to stock**. See [Receive, count and adjust stock](https://bulk-order-hero.mintlify.site/inventory/receive-count-adjust.md).

## Coming up

**Coming up** shows how much of each material is on paid orders for **Today**, **Tomorrow** and the **Next 7 days**, and whether your stock covers it. If you buy for each load, use it as your pickup list.

## Get an alert before you run out

**1. Tap Inventory, then the material**

**2. Set Low stock at**

Under **Alerts and selling**. The app suggests about a week of sales.

When a material drops to that amount, you get an alert on the bell and by email. You get another when it runs out. The red number on **Inventory** in your menu shows how many materials are low or out.

To send alert emails to more people, tap **Settings**, then **Inventory**, and add their emails under **Alert emails**.

## When a material runs out

Under **When available runs out**, pick one:

* **Keep selling**: customers can still order, and you get an alert. This is the normal setting.
* **Stop selling**: sizes bigger than what's left are hidden on your store. At zero it shows **Sold out**, with your own message if you add one. It comes back by itself when you receive more.

Customers never see your stock numbers.

## Who can use it

| | Owner (you) | Dispatcher | Driver |
| - | - | - | - |
| See Inventory | Yes | Yes | No |
| Receive, count and adjust | Yes | Yes | No |
| Tracking, alerts and selling settings | Yes | No | No |

Drivers don't see Inventory, but their **On the way** and **Delivered** taps still take stock off.
